World of Women takes immense pride in being an engaged, mission aligned community with members all across the world ✨ WoW Meetups is an initiative to create deeper and more meaningful relationships among our holders through the funding of local meetups on a global scale! 🫂
IRL gatherings are an important aspect of community building in web3, and we wish to facilitate many meetups as long as they match our criteria! More on that below, but first: Have you always been the one who plans outings in your friend group? Or the one who’s always updated with the best things to do in your city? Well, The Time is WoW for your skills to shine!
As a meetup host, your responsibility is to gather WoW and WoWG holders in your city and come up with a meet-up proposal for the WoW team to review and hopefully fund! Here’s a few words of encouragement from our previous hosts:

How to Host a WoW Meetup:
- Connect with your local community!
- Tweet that you’re looking to connect with fellow holders in your city with the hashtag #WoWMeetups tagging @worldofwomennft. Email [email protected] when you do so that we can interact with it 🙌
- Create a post under the “WoW Meetups” Forum on our Discord with your city & country.
- Search for the name of your city in our Discord history to see if someone else is from your area and has previously introduced themselves! Politely reply to that message and ask if you can connect :)
- Our Community Lead, Kashvi, can help you with this!
- Curate a list of local holders and bring them together.
- You need a minimum of 7 holders to host a meetup. Non-holders are welcome for our 2 year anniversary meetup!
- It’s important for the community to gather and chat on one platform. This can be the Discord forum, a Twitter Group (recommended) or a WhatsApp/Telegram group.
- Having this list will be helpful when you need to fill out the “Followup Form” for reimbursement, as team WoW requires proof of attendance in that process.
- Although the goal is to host an amazing IRL meetup, it’s always nice to have an online forum for discussions as well! You might find a co-host through this process 🙂
- Go through the WoW Meetups form, understand the budget, and ideate what you want the meetup to look like
- Take out your reading glasses, because our form is quite detailed 🤓
- Finalize the vision for the meetup. Is it a rooftop party? Maybe just a quick lunch? A nice coffee or some drinks? You could even do something out of the box like a game of paintball or bowling! We recommend speaking with potential vendors for events or restaurants at this stage so that you can get an estimate for the budget.
- Choose a safe, and easily accessible location from recommendations by holders in the city.
- Submit your form and email Kashvi, our Community Lead.
- Once you’ve applied for the meetup, please email [email protected]. This is where we’ll share whether it’s approved and personalize recommendations for your meetup.
- Once your meetup is approved, it’s time to promote the event 🚀
- Use the hashtag #WoWMeetups and a geo hashtag that will help the community connect with each other (e.g #KWoW #WoWNYC #WoWLA) prior to the event

- We recommend kicking off promotion at least 10 days before the event so you can account for additional signups as well! Twitter, Instagram, LinkedIn and Discord is where the WoW community thrives 🙌
- Send out event reminders (1 week to go, 48 hours to go, 24 hours to go)
- If you use Lu.ma as we recommended for signups, you can easily tweak their reminder template to ensure attendees have marked their calendars
- Tweet countdowns to the event and alert us so that we can amplify you through official channels
- Double-check your bookings with the venue so that everything is A-OK!
- On the day of your meetup, arrive early so that everything can be organized. Things to remember during the event:
- To make attendees feel included in the event, please give everyone a chance to speak up. We have a no bullying policy and do not tolerate any forms of hate or discrimination
- Use icebreakers such as asking people their WoW story to keep the conversation alive
- Make sure you have a video of everyone saying #TheTimeIsWoW and multiple videos & photos for social follow up. Good lighting and portrait mode is always recommended :)
- Maintain all relevant receipts and a list of attendees, as you will need it to share a recap of the event with Team WoW as stated in the follow-up form.
- Enjoy the event! The time is WoW to network during the meetup that you worked hard to organize 🎉
- Fill out our Follow-up form.
- At the time of the event, the Host will pay for the meetup, but team WoW will reimburse you with USDC (coin) to the address of your choice once proof of attendance and receipts are provided within the Follow-Up form. This usually takes 7 days.
- Please share all your feedback with us during this stage so that we can keep improving :)
- Gather all the content from meetup attendees and upload it to Google Drive (We will share a link with you after the meetup!).
- It’s important to make sure we save all the memories in one place!
- Feel free to post a tweet about your experience with your geohashtag & #WoWMeetups
- Please share this link with all the meetup attendees so that all the content is accessible
